Reasons You Should Still Fax

Faxing is one of those things which we all believe should belong in the 1990’s. Fax is almost more archaic than the phone and we seem to see it as something which only teachers still use. But faxing is actually a great form of communication which can bring a lot to your business and allow you to contact people in a better way. Here are some of the reasons why you should keep using your fax machine.
It’s easy
Faxing is a simple way send documents over to other people and it is something which absolutely anyone can learn how to use it. When it comes to using a Fax machine all you have to do is place your document in the top of the machine, dial the recipient’s number, and press send! No messing about with scanning your document into the computer and it’s quicker!
Better Productivity
If you use a fax server alongside your faxing machines you will be able to link the fax machine up to your email account and send documents via Outlook. This saves you walking back and forth from the machine during the day when you need it, and therefore keeps everyone in the office more productive throughout the day.
Security
The question of is fax more secure than email is one which you may think is clear cut but actually you’d be wrong. When you send an email to someone, you are sending your document and personal information across the web to someone else. This creates a doorway where hackers can get in and take advantage of you and your business. Plus, if you email sensitive documents people can make copies of it and send it around very quickly. When we Fax however, we are sending a physical copy of a document to a specific person. There are no strings, no pathways and no way that anyone can steal your information unless they make a photocopy of the document itself. It is much more secure.
It’s quick
If you're still wondering 'is fax still relevant', you should know that one of the reasons it is is because it can be much quicker than sending a document online. If you think about it, you have to scan a document in on your computer, edit it and then send it off to the recipient. However when you want to Fax the same document you stick the document in the top, dial the number and press send. It is much easier and quicker than messing around with a scanner.
People like to use it
Although there are a large number of people who use email these days, there will always be people who prefer the older ways of communication. When there are people who have used a Fax machine for 20 years, they don’t want to have to change just to contact you. So even if you don’t generally use a faxing machine in your office, it is a useful thing to have to allow people who do to contact you. It opens you up to many more people.
